Privacy Policy
Surface Pro Vancouver respects your privacy. This policy explains what personal information we collect, why we collect it, how it is handled, and the choices available to you.

1. Who we are
This policy applies to Surface Pro Vancouver and our websites, project inquiries, estimates, customer approval tools and installation services. Our Privacy Officer can be reached at info@surfaceprovancouver.com.
2. Information we collect
Depending on how you interact with us, we may collect your name, company, email address, phone number, project or billing address, project description, measurements, requested products and services, property photographs, communications, estimates, approvals, invoices and payment status. Our systems may also receive IP address, browser, device, request-log and security information.
Please avoid including people or unrelated personal information in project photographs.
3. How we collect information
We collect information directly from you; from a property owner, contractor, dealer or representative acting for you; when our team assesses or performs a project; when you respond to an estimate; and automatically when our website receives technical requests.
4. Why we use it
We use personal information to respond to inquiries, assess compatibility, prepare estimates, schedule and document installations, communicate about projects, administer approvals and invoices, provide support, protect our services, keep appropriate business records and meet legal, tax and regulatory obligations. We do not sell or rent personal information.
5. Service providers and disclosures
We use service providers including Cloudflare for website delivery, security and hosting; FormSubmit to receive website inquiry forms and uploaded project photographs by email; Microsoft 365 for business communications; and Google Fonts to deliver website typography. These providers process information under their own terms and may process it outside British Columbia or Canada, where it may be subject to another jurisdiction’s laws.
We may also disclose limited information to professional advisers, insurers, payment providers or authorities when reasonably necessary or legally required.
6. Cookies and website technologies
The public marketing website does not currently use advertising pixels or third-party behavioural analytics. Our protected business systems may use cookies that are strictly necessary for authentication and security. Google Fonts may receive technical request information when font files are requested. If our tracking practices change, we will update this policy and provide consent choices where required.
7. Retention and safeguards
We retain information only as long as reasonably necessary for project delivery, warranty, tax, accounting, dispute-resolution and legal requirements. We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, but no system can be guaranteed completely secure.
8. Your choices and rights
Subject to applicable law, you may request access to personal information we hold about you, ask us to correct it or withdraw consent to future use. Withdrawal may affect our ability to provide a service and does not affect uses already permitted by law. Email info@surfaceprovancouver.com; we may need to verify your identity.
If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
9. Other people’s information
If you provide personal information about another person, you confirm that you have authority to do so and have provided any notice or obtained any consent required by law.
10. Changes and contact
